Case study
O'Neill Trees & Timber: one connected system from enquiry to finished job
Where they started
OT&T had been running on HubSpot and Google Drive alongside separate pricing, document and operational processes, the same kind of patchwork most businesses end up with as they grow: one tool for tracking leads, another for files, and a manual process stitching the rest together by hand. Their documents, quotes, invoices and risk assessments were all created manually without one unified template. Staff used whatever they had to hand, which caused confusion when onboarding somebody new, and there was no single dashboard showing the real money coming in or going out.
What was built
A single joined-up system connecting the CRM, bespoke estimating rules, AI-assisted quote creation, client proposals, risk assessments, invoices and follow-up todos - all built around one job record, so nothing has to be re-entered or copied between tools as a job moves from enquiry to completion:
- CRM and job pipeline
- Bespoke pricing calculator
- AI-assisted quoting
- Proposals and approvals
- Risk assessments
- Invoices and todos
What they said
In just a couple of months, moya has built systems that have made a real difference to how we run the business.
It started with improving our quoting, but it’s grown into something that now helps manage jobs, risk assessments, customer information and a lot of the paperwork that used to take us ages. The biggest benefit for us is that everything joins together, so we’re not entering the same information multiple times.
What I like is that the systems have been built around the way we already work, rather than us having to change everything to fit a piece of software. If we come up with a new idea or find something that could work better, moya is able to adapt it and improve it.
It’s saved us a lot of admin time, reduced mistakes and made day-to-day running of the business much easier. I’d definitely recommend working with him if you’re looking for a system that’s built specifically for your business.
